What software can I use to host a video conference or meeting?

If you have a need to hold a video conference or meeting, we recommend that you use Google Hangouts Meet. It has a number of great features and is included with our G Suite license, so there is no cost to individual departments or users. We do not have an enterprise-level license for any other such software.

That said, you may find that another competing solution better meets your needs (i.e. BlueJeans, Cisco Webex, Cyberlink, GoToMeeting, Lifesize, Skype, Zoom, etc). If you want to consider another solution, we recommend that you do a simple comparison of features and cost. Such features may include:

  • maximum number of participants
  • maximum duration of meetings
  • available participation methods (computer, smartphone, telephone, etc)
  • captioning
  • screen sharing
  • recording
  • support

As with most software, some solutions will include certain features for free while charging a fee for what they consider enhanced features. If you choose to go with a paid solution, be sure to consider how long you expect to need the service. If it's only temporary, perhaps a monthly license is the best idea for your department budget.

Finally, some of us in ITS have experience with other solutions and we're happy to offer assistance where we're able. Just be aware that if it's not Google Hangouts Meet, our ability to provide support will be limited.
